FAQ — FACILITY MEDIATION

Find answers to the most frequently asked questions about Facility Mediation QHSE digital products, their use, downloads and purchase conditions.

1. What does Facility Mediation sell?
Facility Mediation offers documentation resources, digital tools, and QHSE visual communication and awareness materials designed to support the structuring and management of QHSE management systems (Quality, Environment, Occupational Health and Safety), occupational risk management, and workforce awareness. Products are available for download after purchase.

2. Who are the products intended for?
Facility Mediation products are primarily intended for professionals: quality managers, QHSE managers, executives, occupational health and safety officers, and any organisation wishing to structure or manage its management system. The shop is also accessible to individual buyers.

3. Are the products physical or digital?
All Facility Mediation products are exclusively digital. No physical product is sold or shipped. Files are made available for download after payment confirmation.

4. In what formats are the products delivered?
Depending on the product, files are delivered in Word (.docx), Excel (.xlsx) and/or PDF format. For awareness visuals, a printable PDF version and/or an image format may be provided. The formats available for each product are specified on the corresponding product page.

5. Are the documents editable?
Yes. Word and Excel files are designed to be freely edited and adapted by the purchasing organisation to its own context, activities and processes. PDF files are provided for reference or guidance purposes.

6. Do the documents include user guidance?
Yes. Facility Mediation products include user guidance designed to support the understanding, completion and use of each document as part of the organisation's management approach. This guidance is integrated directly into the files.

7. What is the difference between a Document Pack and a Workspace?
A Document Pack brings together a structured set of procedures, registers and forms designed to form the documentation base of a management system. A Premium Workspace is a dynamic Excel-based management tool designed to centralise the monitoring of the management system, risks and performance. The two products are complementary and can be used together or separately.

8. What is the difference between the French DUERP and PAPRIPACT, and the Premium Workspace ISO 45001?
The DUERP — Document unique d'évaluation des risques professionnels (Single Document for the Assessment of Occupational Risks) — and the PAPRIPACT — Programme annuel de prévention des risques professionnels et d'amélioration des conditions de travail (Annual Programme for the Prevention of Occupational Risks and Improvement of Working Conditions) — are tools linked to the French regulatory framework. They address obligations or practices defined by French regulations on occupational risk prevention.

The Premium Workspace ISO 45001 is a management tool linked to the international ISO 45001 standard, designed for any organisation wishing to structure or manage an occupational health and safety management system. It includes a PAPRIPACT feature, relevant where this programme applies to the organisation, but it does not include the DUERP, which remains a separate standalone product.

9. Is the DUERP included in the Workspace ISO 45001?
No. The DUERP — Document unique d'évaluation des risques professionnels (Single Document for the Assessment of Occupational Risks) — is a standalone product developed with reference to the French regulatory framework. It is available separately, within the DUERP + PAPRIPACT Bundle or the Enhanced ISO 45001 Offer. It is not included in the Premium Workspace ISO 45001.

10. Is the PAPRIPACT included in the Workspace ISO 45001?
Yes, as an integrated feature. The Premium Workspace ISO 45001 includes a PAPRIPACT feature allowing organisations to structure and monitor an annual prevention programme directly within the tool, where this programme is applicable to the organisation. The PAPRIPACT — Programme annuel de prévention des risques professionnels et d'amélioration des conditions de travail (Annual Programme for the Prevention of Occupational Risks and Improvement of Working Conditions) — is a tool linked to the French regulatory framework and is not applicable to all organisations. The standalone PAPRIPACT remains available separately for organisations requiring a dedicated tool.

11. Can the DUERP and PAPRIPACT be purchased separately?
Yes. The DUERP — Document unique d'évaluation des risques professionnels (Single Document for the Assessment of Occupational Risks) — and the PAPRIPACT — Programme annuel de prévention des risques professionnels et d'amélioration des conditions de travail (Annual Programme for the Prevention of Occupational Risks and Improvement of Working Conditions) — are available for purchase separately or together in the DUERP + PAPRIPACT Bundle.

The Enhanced ISO 45001 Offer includes the standalone DUERP as well as the Premium Workspace ISO 45001, which includes an integrated PAPRIPACT feature. The standalone PAPRIPACT is therefore not added separately to this offer.

These products are developed with reference to the French regulatory framework.

12. What does a bundle contain?
A bundle brings together several Facility Mediation products in a coherent offer. The exact contents of each bundle are detailed on the corresponding product page. The products included in a bundle are identical to those sold separately.

13. Are the DUERP and PAPRIPACT products suitable for organisations outside France?
The DUERP — Document unique d'évaluation des risques professionnels (Single Document for the Assessment of Occupational Risks) — and the Facility Mediation PAPRIPACT are developed with reference to the French regulatory framework. An organisation outside France may use them as a methodological basis or source of inspiration, but must adapt them to the legal and regulatory requirements applicable in its country. They do not constitute a guarantee of regulatory compliance outside France.

14. Must the documents be adapted to the organisation?
Yes, they must. Facility Mediation products provide documentary and methodological foundations. They are designed to be adapted by the purchasing organisation to its own context, activities, risks and applicable requirements. Use of the documents without prior adaptation is the sole responsibility of the organisation.

15. Do the products guarantee ISO certification or regulatory compliance?
No. The purchase of a Facility Mediation product does not constitute a guarantee of regulatory compliance or compliance with standards, nor does it guarantee obtaining or maintaining ISO certification or any other certification. Compliance and the effectiveness of the management system remain the sole responsibility of the organisation.

16. Can the files be used across multiple companies or entities?
No. The licence granted upon purchase is personal and limited to the purchasing organisation as identified at the time of the order. It does not cover legally distinct entities, subsidiaries or partners. For any multi-entity use, please contact us at contact@facility-mediation.com.

17. Can the files be shared, resold or redistributed?
No. The files are strictly reserved for internal use within the purchasing organisation. The following are expressly prohibited: resale, redistribution, transfer to third parties, public publication, commercial use of derivative versions, and integration into a commercial offer intended for third parties. For further details, please consult our General Terms and Conditions of Sale.

18. Are future product updates included?
No. The purchase provides access to the product as available at the time of the order. Facility Mediation does not commit to providing free lifetime updates. Minor corrections may be provided at Facility Mediation's discretion. Significant changes or new versions may be offered separately.

19. Do you offer QHSE visual communication and awareness materials?
Yes. Facility Mediation also offers QHSE awareness visuals designed to be downloaded and used within organisations: safety posters and visual materials, risk awareness resources, safety equipment and devices, as well as other QHSE themes depending on the available collections.

20. In what formats are the visuals provided?
The available formats are specified on each product page. Depending on the visual, a printable PDF version and/or an image format may be provided.

21. Can Facility Mediation visuals be modified or redistributed?
Usage rights depend on the product and the licence specified at the time of purchase. Unless expressly authorised, visuals are intended for the internal use of the purchasing organisation and may not be resold, redistributed or integrated into a commercial offer intended for third parties.

22. When are the files received after purchase?
Files are made available after payment confirmation. They are provided as promptly as possible in accordance with the technical settings configured on the shop.

23. How do I download the files?

24. What should I do if I do not receive the email or download link?
First check your junk or spam folder. Also verify the email address used when placing the order. You can also access your files directly from the order status page. 26. Is there a right of withdrawal?
The applicable conditions depend on your status as a buyer. For full details, please consult our Refund and Withdrawal Policy. In summary: professional buyers do not benefit from a statutory right of withdrawal in business-to-business transactions. For consumers, the 14-day right of withdrawal applies in principle, but may not be exercised for digital content where supply has begun with the buyer's express consent under the applicable legal conditions.

27. Can individuals purchase from the shop?
Yes. The Facility Mediation shop is accessible to individual buyers. However, the products are designed for professional use and must be adapted by the buyer to their own context. The consumer-specific provisions set out in our General Terms and Conditions of Sale apply to purchases made by individuals.

28. Does Facility Mediation sell internationally?
Yes. The Facility Mediation shop is accessible from several countries. Prices are displayed in euros excluding tax. The applicable tax conditions (VAT, reverse charge, local taxes) vary depending on the country and the status of the buyer. For further details, please consult our General Terms and Conditions of Sale.

Document Packs and Premium ISO Workspaces (ISO 9001, ISO 14001, ISO 45001, Integrated Management System — IMS) are based on international standards and can be used by any organisation, subject to adaptation to the organisation's own context.

The DUERP and PAPRIPACT are developed with reference to the French regulatory framework. Their use by an organisation outside France requires adaptation to the applicable local requirements — see question 13.
